Creating a Huddle Message or Task
- In NetSuite, open a new Broadcast record.
- Primary Information
- Fill out the Broadcast Category that best aligns with the communication.
- Change the priority, if needed.
- If you will need the system to create a task, check the Create a Task box.
- Timing
- Select your Recurrance.
- This will change the timing options displayed below.
- Fill in Broadcast Start Date, Broadcast End Date, and Time.
- Nuances
- Process Immediately does not require a start date, end date, or time.
- If you need to process something immediately that is going to create 500+ messages, you cannot use this feature.
- Use Non-recurring (One-time) and set to the closest time that you need the communication to go out.
- Fill in the additional Timing drop downs that appear based on your Recurrance selected (Quarterly, Daily, Weekly, etc.)
- Select your Recurrance.
- Audience
- Audience Category = Store
- Security Level = select the level that needs to message/task
- Select the Region, Market, or Store(s) that need to be targeted.
- Nuance
- District and Regional Managers are set to Corporate stores for payroll reasons. If trying to target all DMs in the Central Region, you cannot use Region box. Put a store for each DM in the Broadcast Store box.
- Message
- Title the message in Broadcast Title
- If message requires Team Member Acknowledgement, check this box.
- Insert Message into Broadcast Formatted Message.
- If needing a secondary audience with an additional message, fill out Secondary Audience & Secondary Message fields.
- Task Details
- Before creating, make sure you checked the Create a Task box in primary information.
- Fill in the Task Name.
- Select a Task Template.
- Text = no photo needed from store, only displays Complete button
- Photo = store has to uplaod a photo but no approvals needed
- Photo with Approval = photo needed and DM has to approve the photo
- Fill in the Task Description.
- Reminder: messages and tasks show in two different portals for the store and are not combined.
- Assign a Task Due Date.
- If a second or third task needs created on the same Broadcast fill out this information and ensure that Create Secondary/Tertiary Task boxes are checked.
- Save the Broadcast in DRAFT status.
- Review the Audience Summary and make sure that it it sending to the correct people.
- Review message in full for clarity, spelling, and grammar.
- Click blue edit button.
- Change Broadcast Status to Active.
- Click Save.

- DMs need their stores added to their All Stores field on their employee record.
- Search Emp: (NAME) in NetSuite and click Edit

- Weekly Game Plan is generated in the Operations SharePoint on a shared Word Document and shared with Danyalle, Scottie, and LP Scott.
- This is reviewed on Wednesday in meeting to prepared for the Friday L10 Call with Regionals.
- After the meeting and notes are aligned, notes are transferred into the Weekly Game Plan PPT format.
- Duplicate last week’s slides to make edits and then hide the previous week’s slides.
- This allows for consistent formatting and easy access to previous weeks’ information.

Scheduling Thursday Walkthroughs
- On Thursday mornings, the corporate team walks through 2 stores. Send the calendar invite from the Operations group calendar 1.5-2 months prior to the walk to ThursdaywalkHQ@rallyhouse.com, the store, and the District Manager.

- When more stores are needing to be scheduled, ask for Regional submissions 2 months prior to when they need to be walked.

- New Store Specific: Close the NSO support case once calendar invite has been sent out.
Weekly NSO Call
OPS will oversee the scheduling of the NSO Call. This call will occur every Wednesday (unless moved to bi-weekly due to minimal NSO’s) from 8am – 9am.
Call Prep
- On Friday OPS sends the agenda via email. To create the agenda:
- Pull the stores that have a Supply Arrival Date or Closing Date in the next 60 days.
- Relocations need to be clicked into versus using the NSO portal on the NetSuite dashboard.
- Closings need to be confirmed by Brandon as ready for public discussion.
- Adjust the time that each Region joins the call based on the NSO load for the region.
- Ask if there are any that need to be added to the agenda.

Creating Store Folders in NetSuite
- Create the store’s folders in NetSuite.
- In NetSuite, go to Documents > Files > File Cabinet.
- Go to the folder titled Store Folders. Here, you should find a folder for each existing store.
- At the top right, select New Folder to create a folder for the new store.
- Fill out the name for the new folder and save. This should be the complete store name and number (e.g., Store 001 – Wichita).
- Ensure that no restrictions are set for the folder.
- Within the store folder, create the following subfolders using the same process:

- Packing Slips
- Paid In Paid Out

Completing Store Page Information
- Log into NetSuite.
- In the search bar type “store: (3 digit number)”.
- Open the store page.
